Impact Sport Clubs Social Media and Advertising Policy

1. Introduction

At Impact Sport Clubs, we value the privacy and safety of our members, especially children. This Social Media and Advertising Policy outlines guidelines for the use of photos and videos taken during club sessions for promotional purposes. Parents or legal guardians have the option to provide or withhold consent for the use of their child's images in social media and advertising materials.

2. Photo Consent Opt-In and Opt-Out

2.1 Consent Procedure:

• Prior to enrollment, parents or legal guardians will be presented with a Photo Consent Form during the registration process.

• The Photo Consent Form will clearly state the purpose of collecting photos (for social media and advertising) and provide an option to either grant or deny consent.

• If a parent or legal guardian wishes to grant consent, they will need to select the appropriate option on the Photo Consent Form.

• Consent will be valid for the duration of the child's enrollment at Impact Sport Clubs but can be revoked at any time by notifying the club in writing.

• If a parent or legal guardian chooses not to provide consent, they will select the opt-out option on the Photo Consent Form.

• Children without photo consent will wear a designated wristband during club sessions to easily identify them.

3. Use of Photos and Videos

3.1 Social Media:

• Photos and videos containing children's images will only be shared on official Impact Sport Clubs' social media accounts.

• Care will be taken to avoid tagging or identifying children by name in public posts.

3.2 Advertising Materials:

• Children's images may be used in print or online advertising materials, such as brochures, flyers, and the club's website.

• Personal information, including names and contact details, will never be disclosed in advertising materials without explicit consent.

4. Withdrawal of Consent

4.1 Procedure:

• Parents or legal guardians can withdraw consent for the use of their child's images at any time by submitting a written request to the club.

• Upon receipt of the withdrawal request, the club will cease using the child's images for promotional purposes.

5. Compliance and Monitoring

5.1 Compliance:

• Impact Sport Clubs will ensure compliance with data protection laws and regulations, including but not limited to GDPR and relevant local privacy laws.

5.2 Monitoring:

• The club will regularly review and update its procedures to ensure they align with the latest privacy standards.

By enrolling a child at Impact Sport Clubs, parents or legal guardians acknowledge that they have read and understood this Social Media and Advertising Policy and agree to abide by its terms and conditions.
